A profile of your business

How you generate leads: You’ve listed your firm in the yellow pages, you do direct mail, and you network through other fellow attorney’s complimentary services who often refer clients to you. Word of mouth is crucial to your business development efforts.

How we can improve this process: Track calls as they come in to evaluate the return on investment (ROI) for all your advertising campaigns. Imagine being able to track all the referrals provided by other attorneys, so you know who to incentivise and refer business back to.

When the phone rings: Your assistant picks up the call, and attempts to qualify the potential client by asking several questions. Ultimately she/he may forward the caller to an attorney who then asks more in depth questions, trying to decide if a consultation is needed. If you have a large firm, a secondary “screener” might further process the caller before an attorney gets into the picture.

How we can improve this process: No more manual client processing. Imagine having an online qualification questionnaire that your assistants, or even your potential clients can fill out right from your web site which automatically qualifies your clients for you based on workflow rules you define. For example lets say you’re a defense attorney, and your potential client is asked “Are you seeking to A. Bring charges against a defendant, or B. Defend yourself from a pending law suit. If the answer selected is A. You might have the questionnaire bring up a list of attorney’s you might recommend, however if they answer “B” you could have the system automatically submit their registration information as a lead to follow-up on. This is the kind of automation that makes sure nothing falls through the cracks.

After you’ve acquired your client

Pretrial: Set your client profile to Contingency or Time and Expense based billing. Track fields specific to your client profile such as Social Security # and other relevant data. Define the discovery process using  then attach documents specific to each step of discovery. Assign case tasks to your assistants, and see everyone’s availability, including Outlook scheduled meetings. Perform all your time and billing for billable and non-billable events, tying all billable events back to the Client’s legal bill.

Trial / Post-Trial: Assign all relevant contacts to the Case, including associate and partner council, professional witnesses, etc.. Attach your  case-book documents to the Case profile. Associate your competing councils case details and profile to your own case profile for quick referencing. Audit trail of all email history exchanged by anyone in your  firm and the client from the client’s own profile. Audit trail of all documents filed and uploaded to the client profile.
